Terms of Service

Last updated: June 2026
These terms govern your access to and use of Gaia. By using the service you agree to them. If you are accepting on behalf of an organization, you represent that you have authority to bind that organization.

The service

Gaia provides an AI layer over your company’s departments — reading, classifying, summarizing, and prioritizing incoming work, and drafting routine output. The service may evolve as we add capabilities and modules.

Accounts & eligibility

You are responsible for the activity under your account and for keeping credentials secure. You must provide accurate information and use the service in compliance with applicable law and your organization’s policies.

Acceptable use

Do not misuse the service: no unlawful, infringing, or harmful activity; no attempts to breach tenant isolation, access another tenant’s data, disrupt the service, or circumvent security or rate controls.

Your data & ownership

You retain ownership of the data you bring to Gaia. You grant us the limited rights needed to operate the service for you — ingesting, processing, and presenting your content to produce summaries, answers, and drafts. Our handling of personal data is described in the Privacy Policy.

AI outputs & human control

Gaia generates summaries, suggestions, and drafts that may be inaccurate or incomplete. Consequential or irreversible actions are held for human approval by design. You are responsible for reviewing outputs before acting on them; Gaia is a decision-support tool, not a substitute for professional judgment.

Third-party integrations

When you connect third-party services (such as Microsoft, Google, or Zoho), your use of those services remains subject to their own terms. We are not responsible for third-party services or for changes they make to their APIs or availability.

Disclaimers & limitation of liability

The service is provided “as is” without warranties of any kind to the extent permitted by law. To the maximum extent permitted by law, Gaia is not liable for indirect, incidental, or consequential damages, or for decisions made in reliance on AI-generated output.

Termination

You may stop using the service at any time. We may suspend or terminate access for breach of these terms or to protect the service or other customers. On termination we handle your data as described in the Privacy Policy.

Changes

We may update these terms as the service changes. Material changes will be communicated, and continued use after an update constitutes acceptance.
